How Often Should I Shut Down My Computer?

c6af629d-a0b2-4580-9fa6-dfe49ce93bbaI am asked this question all the time. All sorts of factors come into play. Essentially, it boils down to your own personal preference. Here are some things to consider:

Wear & Tear — Computer parts are designed to be extremely durable and last for years, but as with all machines that have moving parts, things do eventually break down. In a PC, the cooling fans are the primary components that will be in constant use if you never turn the machine off. Hard drives also continue to spin when the computer is not in use, and they can eventually die out.

Too Many Processes — If you leave your computer on all the time, it is still running all manner of processes, even if no programs are open. Over time, these processes lead to memory errors that build up, which can cause crashes and programs to freeze. Shutting down your computer when it’s not in use can help limit that kind of poor performance.

Trash & Recycle Bin

e3e1b0a7-d351-4d0c-a841-cc62d92ec315Just putting something into the Trash or the Recycle Bin doesn’t actually delete it. You then have to *empty* the Trash or Recycle Bin. (Once a year, I hear about somebody whose hard drive is full, despite having practically no files. It’s because over the years, they’ve put 79 gigabytes’ worth of stuff in the Recycle Bin and never emptied it.)

 

iPhone/iPad Typing Shortcut

On the iPhone (or iPad), hit the Space bar twice at the end of a sentence. You get a period, a space, and a capitalized letter at the beginning of the next word. Try it!

Apple Maintenance

Your Apple computer pretty much takes care of everything on its own. Updates to the operating system run in the background and get installed on your next restart. Operating system upgrades usually need to be confirmed by the user in order to be installed. Apple recently came out with OS Sierra. Want to upgrade but not sure how to do it on your own? Do you have a backup external hard drive of your Mac? Are you hoarding lots of files that are slowing down your computer? If you install software, be sure you know how to uninstall it.

97398f82-dba6-428c-b50c-a484e5e2d880That picture to the left is an extreme case. BUT, If you’ve had your PC for more than a few months, it’s probably filled with dust, dirt, and worse. Especially by the fan on the back of the computer or underneath the laptop. Dirt buildup can affect PC performance. Cleaning all of the muck and dirt out of a system can be pretty gross, at least the first time around, but doing it regularly ensures optimal cooling performance and stability. A great tool to have is canned air. Also, a Dustbuster, small brush, and Fantastik will work wonders to keep your friend clean.

Can you believe how fast the summer went by? I know it’s still summer, but every year at this time, I still think back to school days and starting a new year. Always having to have the perfect outfit for the first day, the coolest backpack, and of course, the latest gadget, a1b5da66-8624-4c07-8820-7027bf833524whether it be a new computer, iPod, or that brand new scientific calculator! I didn’t always have these gadgets during my school years though. So I grew up knowing life before technology and then with technology. This is how I can understand both sides and it gives me an upper hand at helping you learn something with which you didn’t grow up.

However, because of this impatience it is not uncommon for users to click Ok or Next without reading what they are agreeing to. Make sure you read every prompt before agreeing, or you may be agreeing to install new browser toolbars, a program you didn’t intend to install, or other crapware.

What’s in my History?

Have you ever wanted to revisit a website you looked at a few days ago, or weeks ago, but don’t remember how you found it?  Use the History feature in your Internet Browser. For Chrome, Firefox and Internet Explorer, press Ctrl on your keyboard and then simultaneously press the ‘H’ key. This will bring up a list of websites you’ve visited organized by date. In Safari, click History on the top menu bar.

Why Is My Computer So Slow?

It could be a hardware issue, memory, hard drive space, viruses, malware, too many programs running, too many startup programs, unused programs, a fragmented hard drive. As you can see, there are a lot of things to look into. Maintenance is the key!

How Do I Keep My Files Safe?

If you care at all about the files on your computer, pictures, music, videos, documents, even internet bookmarks and favorites, you need a backup. This way, if something happens to your computer, a virus attack, a dead hard drive, you have all your files saved in another location. Which is the best way to go? I recommend an external hard drive backup AND a cloud based backup (storing your files in the ‘cloud’).

I know how frustrating it can be to have so many passwords and to keep them all over the place or even written down in a book and then have to keep track of when you change them. That’s why there are password managers. These are programs that store all your passwords (you have to input them of course) and are locked by one main password. So all you have to do really is remember one password (a very secure one) and you will have access to all your others!

The Hamburger Menu

24e98db8-c328-4dac-9e3c-9fb0e19c85d0Have you noticed that icon pictures are starting to take over as replacements for certain words? For instance, instead of seeing the word “Print”, you’ll see a small printer icon. That has been around for a long time, but have you noticed the 3-line icon? It’s called a “Hamburger Menu” and signifies a menu from which you will find many options. Google Chrome uses this as do many websites and apps.

Is it time to upgrade? 9 out of 10 of the computers I’ve upgraded to Windows 10 have been successful. And now Microsoft is forcing the upgrade. If you haven’t been upgraded yet, and don’t want to, please contact me. If you’re ready, let’s do it! Microsoft will offer Windows 10 as a free upgrade through July 29th.

Full Screen Mode

Sometimes it’s nice to be able to see your screen without all the menus and footers that are part of the program you’re in. For this, there is full screen mode. The F11 key on a PC keyboard will toggle on and off the full screen mode. Holding down Control-Command-F on a Mac keyboard will do the same thing.68611faf-2f82-4ec4-b643-756dc27937f1

A Few Tricks and Treats

It’s that time of year for tricks and/or treats, so I figured since Halloween is my favorite holiday, I would dedicate this month’s newsletter to just that! So below, you will find a couple tricks and a new treat.

You’ve seen your friends and family on Facebook put up pictures and wonder how you can do that too. It’s easy. I’ll give you step-by-step instructions. First I will go over adding a photo on your PC computer, then I will talk about the iPhone and iPad.

  1. On your computer, go to Facebook and make sure you’re logged in.
  2. At the top of the page, you will see a box that says “What’s on your mind?” Above the box is Add Photos/Videos. Click this.
  3. Your next step is to find the photo you have saved on your computer that you want to post. Most likely, your photo will be in your Pictures folder (which you’ll see on the left-hand side of the box that comes up). Click that.
  4. When you see the photo you want to post, double click it. If you have several organized folders inside of your Pictures folder, double click on one of those folders to find the picture you want. Then double click it.
  5. You can now add a caption by clicking on Say something about this photo.
  6. Next, click the blue Post button!

There are a couple ways to post a photo to Facebook using your iPhone or iPad. I’ll go over one. If you want to know the other, just ask! First, make sure you have the photo you want to post in your Photos app (either a picture you took with the camera, or a picture someone has sent you).

  1. Open the Facebook app on your iPhone or iPad.
  2. At the top of the screen, you will see the word Photo with a camera icon. Tap it.
  3. The screen will now show you your Camera Roll, find the photo you want to add and tap it.
  4. Tap Done at the top right of the screen.
  5. You can add a caption by tapping on Say something about this photo.
  6. Tap Post on the top right!

Useful & Important Tips

Windows 10: To Install or Not To Install

fd198152-021c-4abf-a030-34e004e83518Many of my clients have been asking me whether they should install (or not) Windows 10 which has just come out a few weeks ago. My advice right now, is to hold off. The operating system is new. There can be bugs that make the OS incompatible with certain software or devices that you use. And this would not be good, obviously. While these bugs are being worked out by Microsoft, stick with what you have. I will alert everyone when it’s OK to upgrade to Windows 10!

For the iPhone lovers! (And iPad too)

12679fe1-809d-4263-af4d-2bcfe34073fcDid you know that if an app is causing a problem (it’s frozen or just won’t work right), there are a few things you can do? First close the app. Now I don’t mean just getting out of it and going back to the Home screen (the screen with all the little square icons). While your phone is on, double press on the Home button. You will see smaller rectangles showing the apps you have open. Using your finger, swipe up the screen from the rectangle. Now you’ve officially closed the app. Press the Home button to return to the Home screen. Reopen the app and see if this has solved the problem.

If not, here’s the second thing you can try. Turn off your phone completely and then turn it back on again. Check the app that was causing you problems.

If that doesn’t work, you can do a “hard reset” of the phone. This usually solves the issue completely. To do this, hold one finger down on the Home button, while at the SAME time, holding another finger down on the Power button. Do not let go until you see the Apple show up on the screen. Your phone will restart. Check the app now to see if it works properly.

ALERT!!

If you get a phone call from someone claiming you have an infected computer and they need to get into your computer to fix everything, PLEASE HANG UP AND CALL ME. This is a scam and the entity on the other end will try to convince you that your computer needs to be fixed by them. This will cost you hundreds of dollars, and your computer will end up infected even more.

d305ee50-8723-4132-aaea-b94b3aec06e8This scam can also come in the form of a message that pops up on your screen with a phone number to call. Please don’t call that number and call me instead.

Please be aware that there are many scams going around these days and the information on your computer, including passwords, account info, bank accounts, identity, etc. can be compromised. Please don’t fall for these scams. No one “out there” can possibly track or know that you have viruses on your computer. And in actually, you don’t. Until you let them in.

It doesn’t matter if you have sensitive information on your computer or not. These scammers will render your computer unusable even if you claim there’s nothing on your computer for them to go after.

Don’t be scared, rather, be cautious!

Files & Folders

505a791f-585a-413e-a437-3a4d6b364e33To understand files and folders on the computer, take out a Manila folder from your desk. The Manila folder from your desk is the same as a Folder on your computer. It opens up and you can put pieces of paper into it. Those pieces of paper are called Files on the computer. Grab another Manila folder from your desk and put it inside the first Manila folder. Now you have put a folder inside of a folder. And other pieces of paper can go inside that second folder. This is the way files and folders work on your computer. Folders contain files and can also contain more folders to help organize your “Files”.

What is the Cloud?

When something is in the Cloud, that means it is stored on servers (or other computers) on the Internet, instead of on your computer. It lets you access your calendar, email, photos, files and more, from any computer or device that has an internet connection. You may not realize it, but you are using the Cloud when you check your Gmail, Yahoo, AOL, Verizon or Comcast email because you would be able to check your email from any computer connected to the internet – not just your own. Did you know?

When you are typing text into different boxes, such as your name, email, address, etc., you click inside the box first. But you do not have to click at the very beginning of the box. You can actually click anywhere inside the box – the center, the right, it doesn’t matter. You will still see the blinking cursor! Then type! This way, you don’t have to be so concerned about clicking exactly at the left edge of the box!

Simple Terms

I am often asked some very simple questions, but these are so important that I wanted to share the answers with you. From Browsers to Search Engines and Webpages to Homepages, there are a lot of terms that get thrown around in the computer world. I’d like to help you understand these words and feel more comfortable using them!

Web Browser vs. Search Engine

A web browser is a program on your computer (or mobile device) that gives you access to the Internet and to view websites. Some examples of web browsers are Internet Explorer, Mozilla Firefox, Google Chrome, and Safari.
A search engine is a website that you use to look up information. Examples of search engines are Google, Yahoo, Bing, and more.
Some people get confused between Google Chrome, the browser, and Google, the search engine. These are two different things. Everyone’s heard of Google.com. You use it to search the web for information on a topic of your choice. Google Chrome is made by Google, but is a program installed on your computer, more specifically, a web browser.

Web Page or Website?

The pages within a website are called web pages and are linked together by Links. NYTimes.com is a website. Each individual article you view would be a web page.

Desktop and Homepage

The Desktop is the screen that you see when you first turn on your computer. Usually there is a picture or solid color in the background and several small pictures on top of it, called icons.

When you open Internet Explorer or Google Chrome (or Firefox or Safari), what is the first thing that you see? That page is called your Homepage. Your Homepage can be changed to whatever you want it to be. Most people like to have a search engine as their homepage.

Simplified

Happy Spring! Well, sort of…
Why did I call this post Simplified? Well, I’ve decided to “Simplify” my future posts. Got a few comments that some of my previous “Tips” may have been a little too complicated for some users. So from now on, I will include smaller tidbits of information. And of course, if you have any questions about anything I write, don’t hesitate to ask me!

What is a PDF?

2eb3ddcf-da43-4fc7-82ad-60e87e026317PDF stands for Portable Document Format. So what does that mean exactly? When you create a file in Microsoft Word, for example, you may include formatting (colors, fonts, etc). If you send that Word file to someone else, they may not see it exactly the same as you do. Maybe they don’t have the font that you used. Not all computers have the same fonts. Instead of sending the Word file, a PDF file can be used. The PDF file will look exactly the way you’ve set up the Word file to look. It will look just like a printed copy. PDFs open up in the program Adobe Reader.

Microsoft Office for Free?

c0e7f083-09e4-4cc7-b96f-4b701ce41f9bMicrosoft Office, the suite of programs that includes Word, Excel, PowerPoint and more, has always been a program that you had to buy to add onto your computer. Computers don’t come with it installed, unless there is a trial version that gives you access to the program for a certain period of time. It is still a program that you have to buy for your computer, but I recently discovered that there is a free option and it is called Office Online. A New Service from CompuTara

You know what I’ve been doing a lot lately? Cleaning computers. Not the outside (I’m allergic to dust), but the inside. Many people have been calling me because their PC (Microsoft based) computers are slow, have popups, and other weird things happening, such as voices, YES, VOICES, coming through the computer! I’m not joking! This is what’s called Malware – bad stuff on your computer. How does it happen? Accidentally, most of the time.
